Job description
The Secretary provides a range of administrative support services to the Director of People and Communications. She/he maintains high standards of professionalism, efficiency, personal communication, discretion, and independent judgment. In working with internal and external contacts, including the Senior Management Team, she/he deals with a wide range of highly sensitive issues under tight deadlines/ pressures.
KEY RESPONSIBILITIES:
- Responsible for scheduling and managing the Director’s calendar, including prioritizing, and resolving related conflicts and competing demands and proactively scheduling important meetings with internal and external individuals.
- Provides support with translation (English to Vietnamese and vice versa) both in terms of documentation as well as in meetings.
- Organizes and coordinates international and domestic travel and related requirements, which include travel authorizations, flight tickets, hotel bookings, visas, airport transfers, and expense reports.
- Provides support in arranging meetings, including the collation of meeting notes and handling logistics.
- Contributes to the excellent reputation of the People & Communications department through professional, friendly, and respectful interactions, both internally and externally.
- Performs other duties as required and assigned such as personal.
Requirement
- A bachelor’s degree and 1-2 years of relevant work experience are required
- Excellent written and verbal communication skills in English and Vietnamese.
- Ability to observe strict confidentiality in all aspects of services provided.
- Strong interpersonal skills with the ability to interface effectively with a wide variety of internal and external clients.
- Highly developed written communication skills, including email correspondence and verbal communication skills, particularly in dealing with people of diverse backgrounds.
- Excellent calendar management skills;
- Ability to work independently.
